Invoicing questions, answered
What belongs on an invoice, how to number it, and what it does and does not prove.
What should a freelance invoice include?
Your name or business name and address, your client’s name and address, a unique invoice number, the issue date and the date payment is due, one line per item with the quantity and rate, the total, any tax you are required to charge, and how you want to be paid. Everything else is optional.
How should I number my invoices?
Sequentially, without reusing a number and without leaving a gap you cannot account for. Many tax authorities expect an unbroken sequence. This page suggests a date-based number because a page with no account cannot track your sequence; a signed-in account issues gapless numbers per user.
Do I have to charge VAT or sales tax?
That depends on where you are registered, where your client is, and what you are selling. The tool applies whatever rate you enter and shows it as its own line. Deciding whether a rate applies is between you and your tax authority.
How do I invoice a client in another country?
Bill in the currency you agreed and name it explicitly on the document, so “$” is never ambiguous. Include complete payment instructions for the rail you agreed, and a reference your client can quote. Cross-border payments are held up by a missing reference more often than by anything else.
Is an invoice made with a free generator legally valid?
An invoice is a commercial document, not something issued by an authority, so what matters is that it carries the information your jurisdiction requires. Those requirements differ by country: check locally before you rely on any template, including this one.
Does an invoice prove I did the work?
No, and no invoice does: you wrote it. It records what you asked to be paid, not what was delivered. Proof that the work happened comes from the client who received it confirming it, which is what a free account adds. That distinction is the whole subject of proof of work.
Where does what I type go?
Nowhere. This page has no account and writes nothing to a database. The form lives in your browser and the PDF is built there. Close the tab and it is gone.
Does Can0nical process the payment or take a cut?
No. Can0nical generates and sends documents. You are paid directly by your client, exactly as you are now.
General information about what these documents usually contain, not legal or tax advice. Invoicing, tax and record-keeping rules differ by country: check with the tax authority where you are registered, or an accountant, before relying on any of it. The user guide covers how the tools fit with the rest of Can0nical.
